Job Title: Business Operations and Executive Support Specialist

Objective of function

The Business Manager provides strategic and operational support to the head of Wholesale Banking COO, ensuring alignment with key business priorities. This role involves managing cross-functional initiatives, tracking progress, and enabling execution of high-impact projects that drive organizational goals.

The Executive Support function complement this by handling essential administrative responsibilities, including calendar management, email and communication coordination, meeting documentation, and record keeping. This role ensures the executive team operates efficiently and remains focused on strategic decision-making.

Together, these roles form a critical partnership that enables both strategic execution and operational excellence within the business planning function

Business Manager

  • Enable the COO to monitor and track financials, people, risk and change indicators and draw insights through data both quantitative and qualitative.
  • Serve as the SPOC for COO in the global BM community of wholesale and local BMs for ING Hubs Philippines.
  • Draw up, implement, guarantee and monitor internal business processes and act as a linking pin across business units to enable effective and efficient operations
  • Build effective partnership with internal and external business units to help drive the business towards establishing and maintaining a culture of growth, service excellence, and support the company as it strives to deliver its business, product and people strategies
  • Pilot initiatives in several business units and scale up implementation to the rest of wholesale, working closely with each business line’s Leadership Team;

Main Tasks / Important Responsibilities and Results

Strategy and Policy

  • Contributes towards the development of strategy and policy, formulates policy in policy documents and contributes towards implementation
  • Highlights opportunities and analysis of problems detected; follow up on these matters. Suggests and implement improvements for internal business processes

Project Management

  • Advises and supports the wholesale banking COO in implementing projects
  • Prepares, socializes and monitors project plans
  • Sets up evaluation strategies and measures of success for every initiative
  • Organizes and facilitates planning and working sessions with different leaders across wholesale banking COO
  • Performs (project-based) tasks at the request of the manager and/or MT of the business unit

Operations and Processes

  • Coordinates with local (Circle Leads, Domain Process Leads), Regional and Global teams to define and execute strategies that will help create efficiencies and further develop client experience
  • Linking pin with other supporting ING business units and initiates actions
  • Provides management and/or control information relating to operations
  • Identifies synergies across domains to work through strategic solutions for wider Wholesale Banking COO, including but not limited to organizational design, role migrations and financials
  • Closely monitors the team’s dynamic plan relating to financials and process migrations, depending on the need, working closely with Local Finance, Shared Operations et al

Communication, Collaboration & Stakeholder Management

  • Point of contact in communications from and to various stakeholders for specific initiatives
  • Can act on behalf of the manager and/or MT when the occasion arises
  • Can represent wholesale banking COO in global &/ stakeholder meetings
  • Optimizes communication between and between business units
  • Develops and maintains a network within the organization

Executive Support

  • Proactively managing the executive’s calendar, meetings, and priorities.
  • Drafting and preparing communications, reports, and presentations.
  • Organizing and supporting meetings, including minute-taking and follow-ups.
  • Handling travel arrangements and expense reconciliations.
  • Maintaining accurate records and documentation.
  • Coordinating with internal and international stakeholders, including other executive assistants.
  • Supporting major projects and performing ad-hoc tasks as needed.
  • This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage confidential information with integrity.
