Mission

Your work activities will mainly focus on providing support for implementing and monitoring bank-wide processes governed by Global Frameworks/Minimum Standards or local procedures, acting as a linking pin for all stakeholders involved enabling an effective and efficient compliance risk management in their processes and day-to-day activities.

ING is required to retain certain kinds of information to meet legal obligations, and to support ongoing business activities. Record retention is concerned with the selection, storage, retrieval, and timely destruction of information. Thus, Global Record Retention Minimum Standard, and other Facility policies represent the focus of this role.

Your day-to-day

• Defines, implements and monitors a physical and electronic archiving process and bulk printing service across the entire organization

• Coordinates the process of selecting documents that have reached their retention period in order to obtain a destruction approval from National Archives

• Maintains the bulk printing service framework at the level of ING requirements int terms of IT Security and Data Protection

• Verify and reconcile services provided and goods purchased in accordance with contractual rates and what was delivered and monthly verification of expenses compared to the established budget

• Implement all measures imposed by the outsourcing policy for services in this situation in the FBS area

• Answering (in cooperation with 2nd Line of Defense – Legal, Data Protection, Compliance), to questions on this procedure and its applicability and interpretation

• Design, implement and maintain Facility Procedures, annual Roadmap and Capacity Plan

• Active involvement in the monitoring of compliance with the Facility Procedures and support management in the development of remediation plans (if case)

• Enhance close cooperation with all business lines/record owners following internal and global procedures

• Present to the relevant committees the outcome of the monitoring the compliance with Facility Procedure

• Prepare reporting, training materials and communications for various key stakeholders/ employees

• Continuous focus on efficiencies, highlight opportunities and suggest improvements

What you bring to the team?

• You are a great communicator being able to transmit in a clear way the why, what and when and know how to generate inspiring communiques, presentations/reports in PowerPoint, Excel and Word

• You have an excellent command of the English language, both verbally and written (mandatory)

• You have the ability to adapt quickly to a changing environment, juggle competing priorities and combine a sense of urgency with due care and attention to details and synthesis capacity; you are a hands-on type of person

• You get personal satisfaction from analyzing problems, delivering solutions, and always looking for opportunities to improve the business processes

• Research skills and the ability to draw information from various sources, including people, applying a practical, flexible, and innovative approach to work

• You take initiative pro-actively picking up tasks

• You are organized and can provide structure and maintain focus on the full picture

• You have good understanding of Risk as well as of the drivers of our business

• You have at least a Bachelor level of education

• Previous experience in process designing, strong analytical judgment and expertise in Project Management field is a plus

• You need to be a team player and have excellent communication skills while interacting with many departments within the bank.
