The Mission

As Personal Assistant you will support the Management Team members of ING Hubs Romania.

Your main responsibilities will be to manage the complex diary, looking weeks ahead to make sure the MT members are prepared seamlessly in a variety of day-to-day activities. These include meetings and business travel, while you always take into account quality, priority and time. You will also be supporting the arrangement of various events within the organization.

Your day-to-day

  • Organize, prepare and schedule meetings and manage the diary of MT members;

  • Assess priority, sensitivity and purpose of meetings, travel requests and day-to-day activities;

  • Issue reminders for appointments & follow up actions points;

  • Record, organize and manage meetings and written communication;

  • Assess priority, sensitivity and purpose; respond to queries, arrange for the manager to respond to queries or forward queries to the appropriate person in the organization;

  • Act as the point of contact and maintain internal and external contacts;

  • Provide organizational, logistical, general and technical support in relation to business travel, meetings, media, conferences, seminars, receptions and anniversaries;

  • Take care of the administrative handling of new staff/transfers/leavers, claiming expenses at MT level.

What you’ll bring to the team

  • You are an experienced Personal Assistant, able to work in a complex international and dynamic environment. You are flexible, trustworthy, proactive and you are a real team player;
  • You are used to working independently and in collaboration with the team at the same time. You set priorities and integrate tasks effectively. You think creatively about how to solve problems, address challenges and you have a high attention to detail;
  • You have a sensitivity for cultural differences, dealing with highly sensitive and confidential information;
  • This is a personal assistant role where availability/approachability, flexibility and proactivity are highly regarded. You will closely work together with the other Personal Assistants and Business Managers in the organization.

Furthermore, you are/have:

  • Experience in a similar role as Personal Assistant at executive levels, preferably in large organizations;

  • High level written and verbal communication skills in English;

  • You master the most commonly used office programs / applications like Outlook, Word, Excel, Power Point, Workday, etc., and are willing to learn new ones when needed;

  • You can work independently and solving problems through your solution-oriented attitude;

  • You build networks easily to be effective and efficient;

  • You can manage cultural differences.
