ING, Australia’s most recommended bank, are recruiting an experienced C-Suite level Executive Assistant to support our Head of Wholesale Banking in Sydney.

This role supports a key executive during a period of huge growth for our Wholesale Bank. You will be responsible for activities such as diary management, meeting planning, email management, coordination and preparation of presentations and documents, co-ordination of international and domestic travels and associated visit agendas. In addition, this role will ensure effective support of the meeting governance framework for the Executive with a clear cadence of key meetings in place which are supplemented by accurate documentation.

You will play a pivotal role in supporting our Head of Wholesale Banking to effectively lead the function to deliver on strategy and priorities. As such, we are looking for an experienced Executive Assistant, with high levels of attention to detail and the ability to build trust and loyalty with the executive you support as well as foster an environment of positivity.

What you’ll do

  • Effective email and diary management, with limited direction and a strong awareness of current WB and business priorities
  • Event and meeting planning to effectively utilize the Executive’s time linked to current priorities
  • Support governance and documentation (agendas and minutes) for the regular cadence of meetings for the Executive to support team effectiveness. Meetings typically include regular 1:1s with direct reports, leadership team meetings, townhalls etc.
  • Preparation of quality presentations, reporting and information management (including monitoring of staff leave and key dates) with an appropriate awareness of the treatment of data demonstrating a strong eye for detail
  • As required, provide support on WB logistics and travel coordination (including liaison on detailed program planning) for the Executive as well as for Executives and Senior leaders visiting from Global (hosted by the local Executive)
  • Maintain confidentiality when dealing with requests from the Executive, including sensitive people and commercial matters
  • Assist the executive and WB leadership team with recruitment activity and onboarding

What we’re looking for

  • Proven PA / EA experience at executive level (7 years plus) supporting a C suite executive in similar sized organization
  • Proven experience in preparing complex and confidential documents and reports
  • Ability to understand and anticipate the needs of the Executive and the Leadership Team
  • Demonstrates flexibility and strong hybrid co-ordination skills between external and internal stakeholders (including effective relationship with Head Office)
  • Displays initiative and ability to generate own duties/work
  • Time management skills – for self and assist the Executive to effectively use their time
  • Ability to prioritize and juggle multiple tasks from different sources
  • Willingness to action urgent priorities outside of standard working hours
