We are looking for an experienced, hands-on and proactive Personal Assistant who will make an impact by keeping the organization running smoothly and ensuring our leaders can focus on their core responsibilities.

The team

You will be the Personal Assistant of the IT Lead Risk, IT Lead Financial Crime & Fraud Prevention, the IT Lead Data & Foundation Reporting and of the Lead CIO Office. You will report hierarchically to the Lead CIO Office.

Roles & responsibilities

As a Personal Assistant you will deliver high-quality executive and team support to leaders in the Finance & Risk domain. You collaborate closely with other assistants and the Business Manager, acting as a trusted point of contact for internal and external stakeholders. You anticipate needs, safeguard priorities and follow through on actions to completion.

  • You coordinate complex calendars for multiple leaders; assess priority, sensitivity and objectives for each request. Plan, reschedule and optimize meetings across time zones; monitor reminders and proactively follow up on actions.

  • You will arrange business travel, itineraries and manage visas. Organizing internal/external events, off-sites and assisting with management activities and special projects. Supporting administrative processes such as expense claims, catering and onboarding.

  • Act as first point of contact for the department; handle queries professionally and confidentially.

  • Build strong working relationships with colleagues and external partners; represent ING with integrity.

  • Assist with small projects and process improvements; coordinate dependencies and timelines.

  • Provide backup coverage for other department assistants to ensure continuous service for leadership.

  • You should excel in prioritising tasks, and multitasking. Clear and concise communication is essential, as is an eye for detail and diligence in task execution. You can communicate effectively with diverse audiences and can handle confidential information discreetly.

  • You are experienced with complex calendar management, travel planning, project management, event organization, and administrative tasks. You have excellent organizational skills and organizational sensitivity and can switch quickly when priorities change.

  • Building and maintaining relationships with colleagues and stakeholders, both within and outside the organisation, is crucial for the effectiveness of a PA.
